For 2026, The Royal is introducing a single Freelance Photographer Subscription, creating a clearer and more consistent program for all participating photographers.
In previous years, photographers could select from two subscription options, including a reduced-rate option that required images to be provided to The Royal for potential use. For 2026, these options have been consolidated into one subscription with one set of terms, access provisions and requirements.
This simplified approach provides greater clarity for participating photographers and allows the program to be administered more efficiently.
Photographers retain ownership of their images, subject to the terms and conditions of the 2026 Freelance Photographer Program.
The program provides approved freelance photographers with access to photograph Equestrian Canada and FEI-sanctioned competitions at the 2026 Royal Horse Show, subject to the access restrictions and guidelines outlined below.
A Freelance Photographer Pass is required if you are attending The Royal to photograph on behalf of a client or photography business, including photographers who intend to:
Photograph a competitor or private client
Sell photographs taken at The Royal
Provide photographs to competitors, sponsors, vendors or commercial clients
Provide photographs for promotional, editorial or commercial use
Promote or operate a photography business while attending The Royal
Personal photography by guests for their own non-commercial use does not require a Freelance Photographer Pass.
To ensure the safety of competitors, horses, officials and guests, and to respect the work of The Royal’s Official Photographers:
Freelance photographers must wear their Royal-issued accreditation visibly at all times.
The Royal’s Official Photographers and their associates have priority positioning in designated photography areas.
Freelance photographers are not permitted inside competition arenas or other restricted areas unless specifically authorized by The Royal.
Freelance photographers do not have access to the Media Centre or designated accredited media seating in the Coca-Cola Coliseum.
Freelance photographers do not have access to the FEI stabling area.
Photography from Peacock Walk, the warm-up ring and other restricted competition areas is prohibited unless otherwise authorized.
A Freelance Photographer Pass does not constitute media accreditation.
The Royal Agricultural Winter Fair reserves the right to revoke photography privileges or accreditation for failure to comply with program guidelines.
The Royal’s Official Photographers and authorized associates have priority positioning and access throughout the event. Freelance photographers are expected to extend professional courtesy and ensure they do not interfere with Official Photographers, competitors, officials, broadcast operations or event staff.
Approved freelance photographers must provide proof of a minimum of $2 million in liability insurance prior to receiving accreditation.
Freelance photography passes are available for the 10 days of The Royal Agricultural Winter Fair. Please review the available subscription options, access provisions and pricing before applying.
All passes must be paid in full prior to arrival and accreditation is non-transferable unless otherwise authorized by The Royal.
